NOTE: This is a Part Time position -- there is flexible with hours and working days. 

 

Under the direction of the People Team management, the People Team Coordinator is responsible for providing administrative support and planning company events.   The People Team coordinator is passionate about building a positive employee experience while also being a reliable, detail-oriented administrative partner behind the scenes.

What you’ll be doing:

ESSENTIAL DUTIES & RESPONSIBILITIES:

 

People Team Administrative Support:

 

  • Assist the People team with general administrative tasks such as scheduling, preparing documents, filing, organizing data, creating business presentations
  • Process and submit invoices and assist with expense reporting and management
  • Support new vendor and independent contractor set up and onboarding
  • Generate reporting to support to People initiatives and provide preliminary analysis
  • Support special projects and initiatives led by the corporate HR team as needed
  • Assist in creation, maintenance and communication of policies and procedures
  • Responsible for organization of company and department events and activities: lunches, training sessions, holidays, milestone celebrations, informal gatherings and recognition events
  • Lead employee gifting: celebratory, condolence, illness
  • Support People Leadership team as needed 

Company Events:

  • Coordinate, plan, and support internal events such as Town Halls, Employee Sales, and seasonal celebrations
  • Manage logistics in planning events which include corresponding with vendors, setup, supplies, communication, and post-event follow-up
  • Partner with cross-functional teams to ensure seamless event execution

What we’re looking for:

QUALIFICATIONS:

 

Education and Experience:

  • Minimum Bachelor’s degree preferably in Human Resources or Business Management 
  • Minimum 2yrs. of HR administrative or generalist experience in a fast-paced environment 
  • High energy level and positive approach to job and group responsibilities
  • General knowledge of HR practices and procedures required 
  • Bilingual – English/Spanish preferred 

Knowledge, Skills & Abilities:

  • Self-starter, able to adapt to changing priorities and work on multiple projects
  • Ability to maintain confidential information in a professional manner
  • Strong interpersonal skills and ability to work effectively as a member of the Human Resources team
  • Strong oral and written communications skills (able to compose and edit correspondence) 
  • Good organizational and prioritizing skills
  • Very detail oriented, with a high level of accuracy and the ability to detect inconsistencies in data
  • Experience managing events and projects 
  • Advanced knowledge of Microsoft Office Suite applications is essential

Travel Requirements:

Other:
Position Type/Expected Hours of Work
Some flexibility in hours is permitted, employee must be available during the “core” work hours of 8:00 a.m. to 5:00 p.m. Monday – Friday and must work 30 hours each week to maintain full-time status. Occasional evening and weekend work may be required as job duties demand.


Physical Demands:
Office environment with frequent sitting, walking and standing, occasional climbing, stooping, kneeling, crouching and balancing. Frequent use of eye, hand and finger coordination enabling use of office machinery. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Oral and auditory enabling interpersonal communication as well as communication automated devise such as the telephone.
